1. Acceptance of Terms

By accessing or using UNIQ ("the Service"), you agree to be bound by these Terms & Conditions. If you do not agree, you may not use the Service. These terms apply to all users, including Super Admins, Company Admins, and Property Managers.

2. Description of Service

UNIQ is a mobile-first property inspection and management platform designed for on-site property management staff. The Service enables users to conduct inspections (Move-Out, Routine, Due Diligence, Vacant Unit, and Work Order), track appliances and serial numbers, capture inspection photos and video walkthroughs, and generate damage reports and work orders.

3. User Accounts & Authentication

Access to UNIQ is granted through one-time passcode (OTP) authentication tied to a verified email address or phone number. You are responsible for:

• Keeping your contact information accurate and up to date.
• Ensuring that only authorised personnel use your account credentials.
• Notifying your Company Admin immediately if you suspect unauthorised access.

Accounts are provisioned and managed by Company Admins within your organisation. UNIQ does not offer self-registration; account creation is controlled by your company's administrator.

4. Role-Based Access

UNIQ operates a three-tier role system:

• Super Admin — platform-level access; may manage companies and global settings.
• Company Admin — manages properties, units, users, and permissions within their company account.
• Property Manager — conducts inspections and manages assigned units, subject to permissions set by the Company Admin.

You agree to use the Service only within the scope of the role assigned to you and not to attempt to access features or data beyond your permission level.

5. Acceptable Use

You agree not to:

• Upload content that is unlawful, defamatory, or violates the privacy of others.
• Attempt to reverse-engineer, scrape, or otherwise misuse the platform.
• Use the Service for any purpose other than legitimate property inspection and management activities.
• Share your OTP codes or account access with anyone not authorised by your Company Admin.

6. Data Ownership

All inspection records, photographs (including appliance serial-number photos), video walkthroughs, appliance data, damage reports, and other content uploaded through UNIQ belong to the company account under which they were created. Individual users do not retain ownership of company data upon termination of their access. UNIQ does not claim ownership over your company's data.

7. Limitation of Liability

The Service is provided "as is" without warranties of any kind, express or implied. UNIQ shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service, including but not limited to loss of data, loss of revenue, or business interruption. In no event shall UNIQ's total liability exceed the amount paid by your organisation in the three months preceding the claim.

8. Modifications to Terms

We may update these Terms & Conditions from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated terms. We will make reasonable efforts to notify Company Admins of material changes.

9. Governing Law

These terms are governed by the laws of the jurisdiction in which UNIQ's operating entity is registered, without regard to conflict-of-law principles.

1. Introduction

UNIQ ("we", "our", or "us") is committed to protecting the personal information of users who access the Service on behalf of their employers. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.

2. Data We Collect

We collect the following categories of information when you use UNIQ:

• Account information — name, email address, and/or phone number provided for OTP authentication; your role and assigned properties.
• Inspection records — inspection type, date, unit and property details, inspection status, and notes entered during inspections.
• Photographs — photos captured during inspections, including appliance condition photos, serial-number photos, and damage documentation images.
• Video walkthroughs — single-take video recordings captured at the conclusion of an inspection walkthrough.
• Appliance & inventory data — appliance type, location, make, model, serial number, installation date, and lifecycle status.
• Damage reports — descriptions, associated photos, and approval/rejection status linked to inspections.
• Usage data — device type, operating system, session timestamps, and feature usage patterns to support platform operation and improvement.

3. How We Use Your Data

We use the data collected to:

• Authenticate users via OTP and manage role-based access control.
• Enable inspection workflows, appliance tracking, and damage report generation.
• Support Company Admin review and work-order creation from approved damage reports.
• Provide appliance lifecycle alerts and property-level analytics.
• Process bill photographs through AI-powered OCR (Google Gemini) to auto-fill inspection data.
• Improve and maintain the reliability and security of the platform.

4. Data Sharing & Third-Party Services

We do not sell your personal data. We share data only with the following service providers necessary to operate UNIQ:

• Expo / React Native runtime — the mobile application framework used to deliver the app to iOS and Android devices.
• PostgreSQL database hosting — encrypted storage of all application data including inspection records, photos, and user accounts.
• Google Gemini AI — used solely for OCR processing of bill photographs to extract and auto-fill inspection cost fields. Images sent for OCR are not retained by Google for model training under our enterprise agreement.

All third-party service providers are contractually obligated to handle your data in accordance with applicable privacy laws.

5. Data Retention

We retain inspection records, photos, and appliance data for as long as your company account is active. When a company account is closed, data is retained for a minimum of 30 days to allow export, after which it is securely deleted unless legal obligations require longer retention. Individual user accounts deactivated by a Company Admin are anonymised within 90 days. If you delete your own account in the app, it is removed immediately; residual data may remain in backups for up to 90 days before permanent deletion.

6. Data Security

We implement industry-standard technical and organisational measures to protect your data, including encrypted data transmission (TLS), secure credential handling, and role-based access controls that limit data visibility to authorised personnel only.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Delete your own account directly in the app (Profile → Delete Account), or request deletion of your personal data (subject to our retention obligations).
• Object to or restrict certain processing activities.
• Data portability — receive your data in a structured, machine-readable format.

8. Cookies & Local Storage

The UNIQ mobile application does not use tracking cookies. We use secure local storage on your device solely to maintain your authenticated session and cache essential app data for offline use.

9. Children's Privacy

UNIQ is intended for professional use by adults employed in property management roles. We do not knowingly collect personal data from individuals under the age of 18.

10. Changes to This Policy

We may update this Privacy Policy periodically. The effective date at the top of this document reflects the date of the most recent revision. Continued use of the Service after an update constitutes acceptance of the revised policy.
